Minutes:

1. Call to order and roll call (attachment)
The meeting was called to order at the Virginia Peterson Research Room of the Carnegie Historic Library at 5:37 p.m. by President, Dennis Judd.

3. Approval of minutes from meeting held April 13, 2011 (attachment)
Grace Pucci moved to accept the minutes from April 13, 2011.
Neal Rambo seconded the motion. Motion Carried

4. Treasurer’s Report
In the Absence of Treasurer, Fran Tognazzini the Treasurer’s Report was not presented.
Item deferred.

5. Motion to purchase museum Co-op Brochures
John Bertoni motioned to purchase the brochures.
Wally Ohles seconded the motion. Motion Carried

a. Need 100 labels for existing brochure with corrected hours
Grace Pucci agreed to print labels with the corrected information

6. Motion – Expenditure for tuning the Piano
Discussion ensued regarding the possibility of finding a local piano tuner who would donate their services and in the absence of such a possibility, what the cost of tuning the piano would be.
Wally Ohles motioned to research options for piano tuning.
Norma Moye seconded the motion. Motion Carried

7. Motion – Purchase of ticket for PRAHS President to attend the Pioneer Museum Fundraiser.
The cost is $100.00 per ticket.
Sherry Golightly motioned to purchase the ticket.
June Bertoni seconded the motion. Motion Carried

Discussion Items – New Business

8. Potluck – Change of date?
Due to cutbacks in staffing the Paso Robles Senior Center will no longer be available on weekends. After discussion it was agreed that during the summer months we should have the PRAHS Potluck in the park. The next Potluck is scheduled for Sunday, June 12th from 1:30 – 4:30 p.m. in the Paso Robles City Park.
Grace Pucci will send a postcard reminding members of the event and to bring tables, chairs and utensils. Norma Moye will talk to someone about the possibility of live music.
*A sidebar discussion ensued regarding the dispersal of the PRAHS Scholarship.
In the absence of established fair and equitable selection criteria, it was decided that the PRAHS will not offer a scholarship this year, but will instead work to establish the necessary selection criteria for next year and will research scholarship fundraising options.

9. Upcoming Programs at the Carnegie
May 14th – Asian Pacific American Program – Ah Louis
Grace Pucci will be presenting a program on Ah Louis. The program will include Ah’s favorite orange cake and tea.

10. Website/Webmaster
Sherry Golightly furnished a report compiled by Cameron Munroe and her. Part of the report included suggestions, among which was the possibility of implementing a credit card/pay pal purchase portal to allow web-guests to purchase items from our gift shop and make donations and a Facebook and Twitter Account.
Don McGeorge motioned to pursue the purchase portal.

11. Schedule for Newsletter
The PRAHS Newsletter is mailed out every other month. The next newsletter will go out in August 2011, with an article submission due date of July 1, 2011.
There has been discussion in the past of having a monthly newsletter. Suzanne Robitaille discussed this with the owner of Accurate Mailing, Ken, and he agreed to donate his services on a monthly basis. An alternate source of funding for other related expenses has not yet been identified.

12. Date for Daily Manager/Docent Meeting

13. CalWorks Welfare to Work Program
The PRAHS will be receiving individuals from the above named program. These individual’s will be subject to an interview process and the PRAHS has reserved the right to refuse applicants and if it proves necessary, to release them from our service.

14. Report on Pioneer Museum Board Meeting – Dennis Judd
Dennis Judd participated in a collaborative meeting between various Paso Robles area Museums. Several issues, common to all concerned were identified. Those issues include Fund Raising, Storage and Volunteers. More such meetings are planned and ideas for solutions to identified issues are being solicited.

15. Review of Mission Statement
Ideas for a revision of the PRAHS Mission, Vision and Values Statement were tendered by Sherry Golightly. The suggested changes were rejected. However it was suggested that the information supplied might be used in a brochure. Dennis Judd suggested that he and Sherry Golightly could work together to update the current Mission, Vision and Values Statement at a later date.

16. Amgen Street Closures
Thursday, May 19th, 2011, the streets into the downtown Paso Robles area will be closed, but the Carnegie will be open. This will mean that our Thursday Docents will have to walk into the City Park area and/or find an alternate place to park their cars.
Friday, May 20th and Saturday May 21st, 2011, the Carnegie will be closed during the Wine Festival.

17. The Paso Robles New Comers Club is hosting a Volunteer Fair July 6, 2011 at the Paso Robles Inn, from 11:00 A.M. to 12:00 P.M.
Sherry Golightly volunteered to attend as the PRAHS representative.
Discussion Items – Old Business

18. Pioneer Royalty Dinner – Committee Report
In the absence of objections, the Pioneer Royalty Dinner will be held at the Paso Robles Inn, on August 14th, 2011. The maximum number of tickets that will be sold is 230. The cost per ticket will be $40.00. Tickets purchased before July 15th will be sold for $35.00. Tickets will not be sold after July 29th, 2011. Each guest must purchase a ticket and be registered individually to enter.

Recording Secretary, Wally Ohles’ attendance at the meeting was delayed. In his absence, these minutes have been prepared and respectfully submitted by Sherry Golightly. The electronic record of these minutes, without attachments, will be retained by Sherry Golightly. A hard copy of these minutes, with attachments will be maintained in the appropriate file with the Historical Society records. Requests or suggestions for corrections or changes to the official minutes should be submitted to a member of the Executive Board and/or Sherry Golightly in a written format that bears the signature of the person submitting the request or suggestion. All changes are subject to the approval of the Board prior to their inclusion in the official minutes.
