Minutes:
1. Call to order and roll call (attachment)
In the absence of the President, the meeting was called to order at the Virginia Peterson Research Room of the Carnegie Historic Library at 5:37 p.m. by Vice-President, Grace Pucci.

3. Approval of minutes from meeting held March 9, 2011 (attachment)
Pat Rambo moved to accept the minutes from March 9, 2011.
Nancy Tweedie seconded the motion. Motion Carried
4. Treasurer’s Report (attachment)
Treasurer’s report was presented by Grace Pucci.
Norma Moye moved to accept the Treasurer’s Report.
Pat Rambo seconded the motion. Motion Carried
5. Motion to move Certificate of Deposit to a local Bank.
Wally Ohles motioned to move the CD to a local bank.
Ron Domingos seconded the motion. Motion Carried
Discussion Items – New Business
6. Purchase of Microsoft Office Suite
Pat Rambo motioned to purchase Microsoft Word Package.
Nancy Tweedie seconded the motion. Motion Carried
7. Potluck
a. New Date and Time –
Sherry Golightly motioned to hold the Potluck the second Sunday, every other month and to close the Carnegie at 12:00 p.m. on that Sunday so that PRAHS staff can attend.
Ron Domingos seconded the motion. Motion Carried
b. Volunteer to take over setup
After discussion it was agreed that Ron Domingos could bring the Potluck supplies and equipment to the Senior Center and members of the group at large could arrive early and setup.
8. Upcoming Programs
a. April 23, 2011, John McCabe and California Geology – Refreshments needed. Sherry Golightly and Ron Domingos will bring cookies and Nancy Tweedie will bring a cheese tray and crackers. Coffee and bottled water will be served. Ancient Peaks will conducting a wine tasting.
b. May 14, 2011, Observation of Asian Pacific Heritage Month – Program on Ah Louis
9. Use of Carnegie by the Art Association on Friday, May 27
a. Deferred – the Art Association has decided to hold their event in the City Building
10. Donation Box and New Sign
There is a need to ensure that the downstairs donation box is secured. Additionally an example of a sign used by another non-profit to solicit donations from their visitors was shown to the group.
Sherry Golightly motioned to secure the downstairs donation box and create a sign similar to the one shown to the group to solicit donations from visitors.
Wally Ohles seconded the motion. Motion Carried
11. Historical Society Scholarships
Information on the process used to award PRAHS scholarships in the past is unavailable. Grace Pucci will discuss the situation with June Bertoni to determine what the PRAHS standards and requirements for scholarship recipients are (i.e., history major/minor, etc.) If the information cannot be found or standards are not established, the group by unanimous consent agreed that no scholarship should be awarded until a process and standards that would ensure fair competition for the scholarship could be developed.
12. Exterminator for the Carnegie
Several spiders – including black widows have been observed in the building. Due to safety concerns this matter needs to be addressed.
Neal Rambo motioned that an exterminator be hired, with a cap of $200.00 allowed for the service, to spray the building in the event that the City of Paso Robles does not provide this service.
Norma Moye seconded the motion. Motion Carried
Discussion Items – Old Business
13. Pioneer Royalty Dinner – Committee Report
Sherry Golightly reported that there were only five committee members present at the last committee meeting. The committee members present discussed the various options for possible venues and after careful considerations decided that the best option available was the Paso Robles Inn, even though this venue would necessitate an increase in the price of tickets. In order to help defray the cost of tickets to guests an early purchase discount would be offered. In order to defray the cost to the PRAHS offering this discount will cause, the group will try to identify local businesses willing to sponsor the Pioneer Royalty. Additionally, since so few of the committee members were in attendance, in order to ensure that all interests and concerns were addressed, the final decision on the venue would be deferred until April 27 to allow other members to submit their concerns, in writing, to the attention of Sherry Golightly.
14. Cal-Works Volunteers:
Cal-works will be sending volunteers to the PRAHS, however, the Historical Society has the “right to refuse” volunteers who do not fill our requirements.
15. Manager and Docent Training
Tabled.

Recording Secretary, Wally Ohles’ attendance at the meeting was delayed. In his absence, these minutes have been prepared and respectfully submitted by Sherry Golightly. The electronic record of these minutes, without attachments, will be retained by Sherry Golightly. A hard copy of these minutes, with attachments will be maintained in the appropriate file with the Historical Society records. Requests or suggestions for corrections or changes to the official minutes should be submitted to a member of the Executive Board and/or Sherry Golightly in a written format that bears the signature of the person submitting the request or suggestion. All changes are subject to the approval of the Board prior to their inclusion in the official minutes.
